Exmoor Trim Limited (“Exmoor Trim”, “we”, “us” and “our”)  is committed to protecting and respecting your privacy. This policy explains when and why we collect personal information about people who visit our website, how we use it, the conditions under which we may disclose it to others, and how we keep it secure.

  • The above information may already be stored on our internal systems and our website to verify you as a customer of Exmoor Trim.

Where we store your personal data

All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted via PayPal. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Uses made of the information

We use information held about you in the following ways:

  • To ensure that content from our site is presented in the most effective manner for you and for your computer.
  • To send updates regarding the status of your enquiry or order.
  • To send newsletters and details of offers and promotions in which we believe you will be interested if you have agreed to this when signing up.
  • To improve the design and content of the Exmoor Trim website.
  • To understand the buying behaviour of our registered users.

The only other circumstances under which we would share your personal data are:

In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.

If our or substantially all of our assets are acquired by a third party, in which case personal data will be one of the transferred assets and the purchaser will be permitted to use the data for the purposes for which it was originally collected by us.

If we’re under a duty to disclose or share your personal data in order to comply with any legal obligation, enforce or apply our Terms and other agreements, or to protect the rights, property, or our safety, our customers, or others (including exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction).

 

 

 

International Transfers and Transfers to Third Parties

Due to the fact that we use third party processors parties who are located outside of the European Economic Area (EEA), your information may be transferred to and stored at a destination outside of the EEA.

By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated as securely as it would be within the EEA and under the GDPR. Such steps may include our entering into contracts with any third parties we engage and the use of approved Model Contractual Clauses. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

Data Security

We take online security extremely seriously and have taken rigorous precautions to ensure that your information is processed with confidentiality and accurately. We use security measures such as password protection with two factor authentication, and ensure that all our premises have access restricted to staff/ invited visitors and are locked and alarmed overnight.

Exmoor Trim are compliant with PCI DSS (Payment Card Industry Data Security Standard) Version 2.0.

Exmoor Trim will never email you to ask you to disclose or verify your Exmoor Trim account password, credit card or bank account number. If you are contacted or receive an unsolicited email which asks you for any of this information, disregard the request and report the incident to our Customer Services team at mail@exmoortrim.co.uk.

We don't have access to any sensitive payment details for our customers. When you input your card details during shopping, our card processor, which is Paypal retains all the information about your card and only issues Exmoor Trim with a unique transaction identifier. This number then allows us to process the cost of your order against your card. It also allows us to issue refunds. We don't have access to your card details.

We also have a rigorous audit program, involving independent and regular assessment of our infrastructure and processes to ensure that they meet and continue to meet, the requirements laid down by the Payment Card Industry Standards Council.

Please be aware that in the interests of credit card security you may be contacted by us by phone prior to the dispatch of your order with a request for additional information.

You acknowledge that the transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

You are responsible for keeping the password you use for accessing our website confidential; we will not ask you for your password (except when using it to log in to our website).

Data Retention

We only keep your personal data for as long as it’s necessary for the original legitimate purpose for which collecting the information, or for as long as we have your permission to keep it.

If you have made a purchase from us, we store your personal information for a minimum of 7 years as HMRC and other government bodies require us to keep transactional and invoicing records for this length of time.

If you have requested information from us via our website or via phone we will store your personal data on file for a minimum of 1 year, but we will not send marketing information to you unless you have given us permission to do so.

User Rights

Lawful Bases. We will ensure that your personal data is processed lawfully, fairly, and transparently and that it will only be processed if at least one of the following bases applies:
